Mail Shot, Bulk Selection Of Policies

 

For the bulk selection of policy records to include in a mailshot (e.g. for a given insurer), starting from Durell’s Main Menu…

  • Click the “Policies” button
  • Click the Signpost button
  • Click the “Mailshotting” option
  • Click the “Mailshot records” option

 

Then on the “Mailshot Options” dialogue…

  • Leave the “Where to search” selector set to “A single address set”
  • Leave the “Address sets” drop-down set to “Policies – Set flag in policy”
  • Click and thereby tick the “Select a range” tick-box
  • Use the “Criterion” drop-down to select what you want to search for, such as “Insurer name”
  • Set the beginning of the range in the “From” box (e.g. “NORWICH UNION”)
  • Set the end of the range in the “To” box (e.g. “NORWICH UNION”)
  • Leave the “Set matched records to” selector at “Yes”
  • Reset the “Set unmatched records to” selector to “No”
  • Click “OK”

 

 

Search & Set MS Flags By Insurer & Type

To get just household policies for Norwich Union you would repeat the selection process, described above, but the second time the search criterion would be [MainType=Household], and all the matched records would be “Left as set” (i.e. because they’ve already been ticked as belonging to Norwich Union), while all the other types would be set to “No” (i.e. removed from the selection).

 

Search & Set MS Flags By Insurer, Type & Date Range

To then get the household policies for Norwich Union due for renewal in March 2003 you would repeat the selection process a third time, but with the search criterion [End/Renewal date=From 01/03/2003 To 31/03/2003]. Again the matching records would be “Left as set” (i.e. because they’re already household and Norwich Union), while all the others would be set to “No”.

 

Search & Set MS Flags For Policy Renewals (General Insurance Only)

If you’re wanting to issue a mailshot regarding your General Insurance renewals (e.g. to include the prepared renewal premium details), do exactly the same as for policies, above, but use the “Include policies” drop-down to select Renewal Policies”.

 

Search Policies But Set MS Flags For Clients

You may wish, for example, to mailshot all clients having a Pension policy with Norwich Union. Some of these may have two or even three such policies, but you don’t want to issue multiple letters to the same client. In this case…

  • Do the mailshot selection in “Policies”, with the “Address sets” drop-down set to “Policies – Set flag in Client”, as shown below
  • Do the mailshot printing in “People”, with the “Select records” drop-down set to “Current set, mailshot=Y”
