Email, Saving in the Document Viewer

 

Any important office email, whether sent or received, can be saved in Durell client’s Document Viewer. To do so, first select the email in question in Microsoft’s Outlook or Outlook Express, then click “File / Save as” and save the email, as illustrated below, with the…

·        “Save in” dropdown at the top of the dialogue set to a sub-folder of your main Durell data folder (e.g. in F:\Imw-Data\Emails)

·        “File name” dropdown set to the client’s name and a basic description (e.g. “Aaron F re pension increment”)

·        “Save as type” dropdown at the bottom of the dialogue set to “Text Only (*.txt)”

 

 

Note that…

·        if you haven’t already got a folder called “Emails” you can click the icon that looks like a folder with a starburst on the top corner to create it on the fly

·        you can continue to use this icon to create sub-folders for each client, as required (e.g. “F:\Imw-Data\Emails\White RJD”, etc)

·        if you’re using individual client sub-folders you won’t need to include the client name when saving the email

 

Having saved the email you can then link it to Durell’s Document Viewer, as follows, starting from the appropriate client’s record…

·        Click the green “W” button to activate the Document Viewer

·        Click the “Find docs” button

·        Use the “Look in” dropdown at the top to locate the Email folder, as shown below

·        Double-click the document in question

 

 

·        Edit the description, if required, then click “OK”, as shown below
